Terms and Conditions

There’s always a little fine print. Any order from a customer is deemed to constitute acceptance of the following Terms and Conditions. We accept the right to update the Terms and Conditions and content on the Be My Guest website without prior notice.

  1. Deadlines and Urgency Surcharges

Deadlines for Wedding Invitations

  • To receive wedding invitations within three weeks, all information must be provided at order commencement.
  • If the invitations are required within two weeks, a surcharge of $40 will be applied.
  • If the invitations are required within one week, a surcharge of $250 will be applied.

Deadlines for Wedding Stationery

As stationery for a wedding reception is a time sensitive item, the following deadlines apply, to ensure you receive wedding stationery in plenty of time (so you can relax and know you’ve got everything you need for your wedding day):

  • To receive your wedding stationery before your wedding day, all information required must be received at least three weeks before you need it to arrive.
  • If the information is supplied after three weeks, but before two weeks, a surcharge of $30 will be applied.
  • If the information is supplied between two weeks and one week before, a surcharge of $100 will be applied.  It is up to Be My Guest’s discretion whether the items will be able to be supplied if information is received after this time.
  1. Payments and Invoices

The Designer will not commence work until the full amount as estimated by the online booking process has been paid. On receipt of this booking fee, this contract will come into force. The booking fee is used towards design time and the purchase of materials, therefore it is non-refundable once design work has commenced.

All invoices are payable within 7 days of receipt.  Overdue accounts may incur additional costs.

The Client shall assume responsibility for cost outlays by the Designer in all collections of unpaid fees and of legal fees necessitated by default in payment. Invoices in default will include but are not limited to fees for collection and legal costs.

The fees and expenses shown are estimates based on the information provided by the Client. Final fees and expenses shall be shown when invoice is rendered, should any change of scope occur during the design process.

All New Zealand orders include GST.  For international orders, the customer will be responsible for any duties/taxes applicable in your own country upon arrival of the parcel. Check with your local Customs Office or similar to determine if any additional taxes or charges will apply, prior to ordering.

  1. Changes to Design

The Client will receive electronic proofs of each item by email for approval and/or changes prior to final printing/supply (in the case of electronic files). Two rounds of revisions of this proof will be included in the price quoted by Be My Guest.  Additional proofs due to errors or omissions on the part of the Client will be charged at $25 each after the second proof.

The job will be produced as it appears in the proof unless changes are requested. The Designer will not be responsible for undetected errors on the proof by the Client if the job is printed as approved. The Client is responsible for all stock, shipping and printing charges if reprinting is requested.

Changes to Design when final file has been sent (electronic file supply)

Where the Client has changes to the final electronic file supplied after previously confirming it was correct, an additional charge of $25 may apply.

  1. Finishing

Electronic proofs closely represent image colour, but are not exact. The proof is intended for content and position only. The colours shown are only approximated on any computer monitor or laser printer. Colour appearance may vary from computer to computer depending on colour, contrast, and brightness settings on each computer, and surrounding lighting conditions. Refer to the printed colour swatches (available for no charge on request) for an accurate representation of the colours. A hard copy sample of your wedding invitation can be supplied for $15.

All Be My Guest wedding invitations are handmade, so therefore may differ slightly from product to product, and between individual items in an order. Final folds and cuts are a manual process and therefore variations of up to 2-3 mm can be expected.

Wedding invitation sets will be delivered flat (with creases for folding) and unassembled. You may wish to fold your invitations then weigh them down under some heavy books to stretch the fibers in the paper and allow the invitation to sit as intended.

Wedding invitations are often depicted in photographs with optional accessories and embellishments. These are an optional upgrade, please enquire.

Printing support where a Client has purchased an electronic file

The Designer is unable to provide specific printing support to a Client who has purchased an electronic version of a file, including recommendations for printers or support with printer settings. The Designer will however, endeavour to work with the Client’s Printery’s specific technical requirements (such as supplying alternative file types, bleed and cropmark setup and colour format where specifically requested).

  1. Cancellation

In the event of cancellation of this assignment, ownership of all copyrights and the original artwork shall be retained by the Designer, and the booking fee paid will be forfeited.

6. Refunds

6 A – Personalised Orders
For orders requiring some form of design and/or customisation, orders may not be cancelled or refunded once final proofs are approved. Cancellations made prior to the receipt of final proofs will receive a refund, less costs incurred including but not limited to design time spent and raw materials already ordered.
Upon final approval of your personalised order, we cannot accept returns due to any and all errors (included, but not limited to misspelt words). By approving your proof, you are accepting responsibility for the information, and the layout as demonstrated in your proof.
If errors are discovered after the final proof is approved, we are required to charge for a reprint.

6 B – General Orders
For orders of non-customised items, a full refund can be issued provided the item(s) have not been shipped. If they have already been sent, a refund will be issued on the return of the item, less the shipping cost. The Customer has 5 working days to notify Be My Guest that they intend to return the items for a refund. Be My Guest is not responsible for return shipping costs.

6 C – Damaged and/or Defective Items
Be My Guest will endeavour to supply a high quality product that is free from any faults, defects or issues. However minor imperfections are an inherent part of using products such as paper, card and canvas. If The Customer receives an item that has been damaged, is defective, or has any issues, they should contact The Designer to discuss within 5 working days of receiving their order.

7. Ownership and return of artwork

The Designer retains ownership of all original artwork, whether preliminary or final.

Alteration, manipulation, resale, distribution, sharing, or similar of this item (printed or digital), any of its elements as a whole or in part is strictly prohibited. You may not use the design purchased, in part or as a whole, or any of its graphic elements to create another design.

Copyrights of this finished work and any and all of its design elements are NOT included with any purchase and remain solely with Be My Guest.

The Designer cannot use or add graphics, clipart, images or fonts sourced by customers without appropriate copying and licencing conditions being met.

Requests for electronic copies of files by printing Clients

An electronic copy of individual pieces of wedding stationery is not included in the price quoted at checkout when purchasing printed materials. Individual/personalised pieces suitable for emailing to wedding guests are available for $15 per guest file.  An electronic file suitable for printing/reproduction is available for $60 each.


8. Marketing

The Designer shall receive a credit line with any editorial and/or social media publishing of the Designers work by the Client.

The work may be photographed and shared online and on social media platforms by The Designer.

9. Releases

The Client shall indemnify the Designer against all claims and expenses, including legal fees, due to the uses for which no release was requested in writing or for uses that exceed authority granted by a release.

10. Limitation of liability

Client agrees that it shall not hold the Designer or his/her agents or employees liable for any incidental or consequential damages that arise from the Designer’s failure to perform any aspect of the project in a timely manner, regardless of whether such failure was caused by intentional or negligent acts or omissions of the Designer or Client, any client representatives or employees, or a third party.

11. Acceptance of terms

The action of submitting an order through www.bemyguest.co.nz will hold both parties in acceptance of these terms.

Digital Downloads End-User License Agreement

The files for download are for personal use only. You may not sell or share the files. All artwork is copyright by law. This is a digital file for you to personalise and print yourself. The download link is valid for two weeks, so download and save straight away. To edit the file, you’ll need to be on a desktop or laptop – mobile devices and tablets cannot edit the PDF. Also, ensure you are using the latest version of Adobe Reader: http://get.adobe.com/reader/ (it’s free). Click into the highlighted fields to edit the sample text. Save, then print.
